We use AI openly. This page explains where, how and why.
The short version
Artificial intelligence helps us analyse commercial cleaning contracts faster and more consistently than a human reviewer could manage at scale. It helps us write clearer, more personalised reports. It helps us produce video summaries of our findings. And it helps our compliance team stay on top of a high volume of operator information efficiently.
What AI does not do is make consequential decisions on your behalf without a human reviewing them first. Every operator introduction we make is reviewed by a member of our team before it goes to a buyer. Every audit result is checked against our quality framework before it is sent. AI is the engine; our team is the driver.
Where we use AI
Contract analysis
When you submit a Scorecard, you tell us about your existing commercial cleaning arrangement: the scope, the frequency, the price, the contract terms and the pain points. Our system analyses that information against market benchmarks, typical contract structures and common areas of over-spend or under-specification. AI enables us to apply that analysis consistently across every submission, not just the ones a human reviewer happens to look at carefully on a good day.
The result is a tiered Audit Report that reflects your specific situation, not a generic template. That consistency is one of the reasons our analysis is worth having.
Personalised written reports
Each Audit Report is a written document tailored to the buyer's responses. AI assists in producing the narrative sections of that report: the contextual commentary, the identification of specific contract risks, and the benchmarking language. A member of our team reviews every report before it is delivered. The AI handles the volume and consistency; our team handles the judgement.
Video summaries
Some communications from us include a short video summary of your Audit Report findings. These videos are produced with the assistance of AI. Where a video uses an AI-generated presentation format, this is stated clearly in the email that delivers the video. We do not use AI video to impersonate a specific named person, and we do not use it to deceive. It is a communication tool, used because it communicates findings more clearly than a wall of text.
Operator matching
Our system assists in identifying which operators on our panel are the best fit for a given buyer, based on geography, sector, contract size and other relevant criteria. A human member of our team reviews every proposed match before an introduction is made. We do not make automated introductions without human oversight.
What AI does not do
AI does not make decisions that legally bind you without human review. It does not assess operator suitability for inclusion on the panel without a human vetting step. It does not send communications to buyers or operators without our team having sight of the content. It does not replace the judgement of our compliance team on matters of data protection, complaint handling or regulatory compliance.
If at any point you have a concern about how AI has been used in a communication or decision that affected you, please use our standard complaints channel. AI-related concerns are handled with the same seriousness and within the same timescales as any other complaint.
Your data and AI training
We do not use your personal data, Scorecard responses or Audit Report content to train third-party AI models. Your data is processed to deliver the service you have requested. It is not used to improve AI systems operated by us or by any third party outside the scope of that service delivery.
Automated decision-making and UK GDPR
Our use of AI in the analysis and matching process involves elements of automated data processing. Where that processing produces a recommendation, a human member of our team reviews that recommendation before any action is taken. We do not rely on solely automated decision-making that produces legal or similarly significant effects, and we do not take legally consequential actions on the basis of AI output alone.
We keep our AI practices under ongoing review against the Information Commissioner's Office guidance on automated decision-making and AI, available at https://ico.org.uk. If our approach changes in any way that is material to data subjects, we will update this page and our Privacy Policy accordingly.
Transparency as a commitment, not a disclaimer
We are not publishing this page because we are required to. We are publishing it because buyers and operators deserve to know how their information is being processed and why. The cleaning industry is built on trust: the trust that the office will be clean on Monday morning, that the quote reflects the real scope, that the contract is fair.
